Conference Funding

A key component of a successful academic career is participation in conferences.

As part of the 2023–2027 target agreements, we offer female academics at their doctoral postdoctoral level financial support for active participation in conferences.

  • Only one trip per year per applicant and maximum three times during the entire duration of the target agreement period from 2023 to 2027 is eligible for funding.
  • The active participation on the conference is necessary. This must be substantiated.
    Important: If you have not yet received a response regarding the acceptance of your contribution by the deadline, you may still apply by submitting proof of registration. As soon as the decision is available, please inform us immediately whether you were accepted or rejected.
  • FAU employees must complete form R0001; Application for approval of an official journey or training journey, last updated: May 21 2025.
    Applicants who are not employed by FAU, must clearly state the nature of their ties with FAU in their application. External applicants must use form R0024; Authorization to carry out a journey, last updated: May 21 2025.

  • Rail travel costs are only reimbursed in full if the applicant used a ‘Bahncard’ (otherwise only proportionately).
    Please note the following general regulations regarding journeys:
    Travel by car will only be reimbursed if there is a compelling justification (e.g. cost savings through travelling with multiple people or the need to transport heavy equipment). Please note that, within Germany and neighbouring countries, travelling by train is generally preferred. Domestic flights and flights to neighbouring countries will not be reimbursed and should be avoided wherever possible.
  • Daily allowances (subsistence costs) are not reimbursed. Please always check the box “Verzicht auf Tagegeld” on the application form for official journey
  • Personal visits (Please note the letter on the Bavarian travel expense law!)
    If the business journey is followed immediately by a private stay, a cost comparison must be submitted together with the application. This comparison (e.g. from the Internet) must clearly show the costs for the return journey directly after completion of the official stay and the costs for the return journey after completion of the private stay.
  • Students or academic staff who do not hold doctoral student or postdoctoral status are not eligible for funding.
  • Other fundings, such as the Office for Research and Early-Career Researchers or the DAAD, cannot be combined with this funding.
  • International conference travel can only be funded if a rejection letter from an external funding provider is available (applicable from 2027 onwards).

Female doctoral, postdoctoral, and habilitation candidates must submit the following documents by Email (PDF):

  • Motivation letter (1–2 pages) explaining the benefits of attending the conference for your academic career. Please also indicate here whether it is lecture or a poster presentation.
  • Application form for official journey
    It must be signed in the original, and the box “Verzicht auf Tagegeld” must be checked. Please also enter the title and chapter only if your chair is providing co-financing. Otherwise, please leave these fields blank.
  • CV and, if applicable, publication list
  • Breakdown of Cost
  • Rejection letter from the external funding provider regarding funding for the conference (for conferences abroad, applicable from 2027 onwards).
  • Description of the conference (e.g. brochure, website, or similar documentation)
  • Letter of recommendation from the chair holder
    The letter should explain the benefits of attending the conference for your further academic career and provide a comprehensible justification why the chair is unable to fund the trip fully or at all.
  • Letter of recommendation by the responsible department women’s representative

Maximum Funding Amounts

Germany: 450€

Abroad EU/CH/UK: 750€

Abroad outside the EU: 1000€


Application Deadlines

There are three application deadlines per year for conference funding. Applications can be submitted for conference participation taking place during the period in between these deadlines.

The final application deadline in 2026 is August 23.

The application deadlines in 2027 are: January 14, May 4, and August 22.

Please note: To ensure fast processing, we kindly ask you to submit your application documents in advance of the deadlines. In general, funding cannot be granted retroactively for a previous application period.
